E-mail

All staff and students are automatically issued with a College E-mail account on registration. Students who wish to use E-mail in connection with heir studies are required to use this E-mail address and not a private address issued by an external provider.

College E-mail accounts may be used for private messages not related to College activities, as long as the use does not breach the College's E-mail Policy. Use for commercial purposes is not permitted.

The on-line College Staff Directory can be used to search for staff E-mail addresses. For Departmental E-mail addresses see the Departments own pages.

E-mail accounts are frozen when the user ceases to be a member of College.

Your E-mail Address

In order to receive E-mail, you will need to give people your E-mail address. Within College, E-mail can be sent to any registered user by addressing a message to the recipient's username. To receive E-mail from outside College, you will need to give the sender your full E-mail address, which has the format:

username@gold.ac.uk

replacing username with your own username.

All staff users also have a mail alias in the format initial.surname (e.g. d.albarn@gold.ac.uk). This should be quoted in preference to the username, as it is easier to remember. Research students may also request an alias of this type - contact the IT Services Help Desk.

E-mail facilities

E-mail facilities are available on all IT Services machines in the RISB and all networked computers in departments:

  • Webmail provides Web-based access to College E-mail accounts, and can be accessed from anywhere on the Internet.
  • Computers in the RISB and in staff offices have Mulberry, which is the College's recommended E-mail package for staff use on both PC and Macintosh systems. Mulberry is also available for home use.
  • Staff Macintosh users can use the Eudora package.

Remote access to College E-mail

Registered users who have a computer and internet connection at home will be able to use it to access their College E-mail.

The College's Webmail facility allows you to access your College E-mail account from anywhere on the Internet without the need to install or configure software.

Please note that the IT Services Help Desk cannot deal with queries about setting up internet access on home computers, or troubleshoot mail configuration problems.

Sending files by E-mail

Both Webmail and Mulberry, have facilities for sending computer files of any type as attachments. Instructions on how to do this in Mulberry are given in the Mulberry Getting Started guide, also available from the Help Desk.

However, it is not always appropriate to use E-mail for the dissemination of files: it is not guaranteed to be secure and sending to multiple recipients is wasteful of resources.

E-mail Policy

All use of e-mail on College computer facilities is subject to the College’s E-mail Policy, which comprises separate policies for staff and students. Online policies are available, as well as printed copies which are available from the IT Services Help Desk.
